Live Arts Toledo, formerly the Toledo Alliance for the Performing Arts (TAPA), is the region’s artistic hub for live performance, cultural education, and community connection. Bringing together the Toledo Symphony, Toledo Ballet, Toledo Jazz Orchestra, Toledo Symphony School of Music, and Toledo Symphony Youth Orchestras, Live Arts Toledo presents more than 200 live performances annually, offering unforgettable experiences that stir the senses and strengthen the cultural fabric of Northwest Ohio.
In 2025, Live Arts Toledo opened its new headquarters at the Toledo Center for Live Arts, a multi-million-dollar renovation of the historic Masonic Temple adjacent to the Stranahan Theater on Heatherdowns Boulevard. Under one roof, this home unites all artistic and educational activity, including concerts, classes, rehearsals, and administrative operations.
About the Position:
The Assistant Librarian assists the Principal Librarian with music procurement and preparation, concert and rehearsal duties, orchestra library organization and maintenance, and other administrative tasks.
Primary Responsibilities:
•Serve as primary music library database (OPAS) administrator including:
- Ensuring library records are accurate
- Instrumentation is inputted for upcoming performances
- Connecting repertoire to the Daniels Online Database
- Ensure all programming changes are entered in a timely manner
• Check incoming and outgoing music for condition and completeness.Scan and upload parts to SharePoint and/or Musicians' portal for digital distribution as needed.
• Ensure prompt return of rented or borrowed materials and adherence to copyright laws.
• Catalogue and file music purchased for the library; maintain accurate OPAS records.
• Track all items borrowed or used from the library and ensure their timely return.
• Prepare materials for orchestra auditions, including coordinating with music publishers on works under copyright.
• Coordinate music transport, distribution and collection of music at rehearsals and performances.
• Serve as primary librarian for all Toledo Jazz Orchestra needs.
Qualifications:
• Undergraduate degree in music and/or significant experience with orchestral music.
• Strong ability to read music, including familiarity with orchestral literature, foreign musical terms, bowing marks, as well as proficiency in score reading and instrumentation knowledge.
• Proficiency with Microsoft Office applications and some knowledge of music notation software.
• Close attention to detail is crucial for this role.
• Keen sense of organization, order, and neatness.
• Familiarity with library catalogue software is a plus.
• Ability to work some nights and weekends. Hours shall be assigned in a mutually agreeable fashion with the Principal Librarian.
• Excellent interpersonal and communication skills with the ability to collaborate and work well with diverse personalities.
• Flexibility, adaptability, and a sense of humor!
• Strong sense of responsibility to complete tasks with minimal supervision.
A Successful Candidate Will:
• Have a strong knowledge of or background in the performing arts (classical music, dance, jazz, theater, etc.)
• Demonstrate innovation and drive as a marketing leader with a proven ability to translate vision into actionable strategies that yield tangible results.
• Possess outstanding communication and interpersonal skills to foster collaboration and alignment across diverse teams.
• Be able to create content for a variety of channels using a variety of programs, tools, graphic design and video editing software.
• Have familiarity with Customer Relationship Management systems (i.e. ticket and fundraising software).
• Stay apprised of industry trends and best practices, particularly related to digital advertising.
• Be willing to think outside the box, test assumptions, and reject the status quo.
The Fine Print
- This position is full-time/non-exempt, mostly in-office with some nights and weekends required.
- Regular attendance at LIVE ARTS TOLEDO events is strongly encouraged.
- Paid leave includes five sick days, two personal days, your birthday, and at least 12 paid holidays. In addition, two weeks paid vacation and a flexible work schedule during the summer is provided with the ability to roll over 5 days (40 hours) unused vacation time annually.
